About the Role

We are seeking a highly organised and proactive PA to become the true right-hand support the a Director of
a leading West London Estate Agents, in a business and private capacity.

Your main duties will revolve around ensuring the Director’s day-to-day life runs smoothly. This is a new position and you will be able to work with the Director to build and shape the scope of the role, ease his administrative workload and free up his time to allow him to focus on other business priorities. In addition, you will also provide support to his family with requests and tasks, and from time to time, other members of his team.

The ideal candidate will be warm, proactive and full of initiative. Attitude is key and this position would be ideal for someone keen and willing to learn and grow into this role. This is an exciting opportunity for the right candidate looking to kickstart their career as a PA.

Requirements

Key Responsibilities:


  • Proactive and thoughtful diary management;

  • Scheduling business and personal meetings and appointments;

  • Inbox management, reviewing emails and correspondence, prioritising work;

  • Acting as a gatekeeper for the Director and primary point of contact;

  • Understanding the Director’s business and network and building relationships;

  • Updating contact details and CRM System;

  • Preparing agendas and documents for meetings, taking minutes;

  • Researching, organising and booking business and personal travel, transport and hotels domestically and internationally;

  • Running personal errands such as sourcing gifts;

  • Dealing with financial administration;

  • Managing household admin such as car insurance renewals;

  • Social media management;

  • Liaising with the family to oversee the management of the household;

  • Organising team and company events;

  • Handling legal administration;

  • Tracking actions and providing regular status updates;

  • Assisting from time to time with the operations of the office including ordering supplies;

  • Ad hoc projects as required.

Experience and requirements


  • Minimum of 1 year of administration experience, ideally as a PA or admin support role;

  • Experience in the property industry is advantageous;

  • Exceptional organisational skills;

  • A keen eye for detail;

  • Exceptional communication skills, verbal and written;

  • Demonstrate a high level of confidentiality and discretion

  • Tech Savvy: proficiency in Microsoft Office Suite

  • Flexibility and willingness to work and be contacted out of hours from time to time

  • A full UK driving license (not essential - candidate will have access to company car)

  • A natural problem solver

  • Proactive and self-starting attitude


Details

  • Salary. D.O.E. + benefits

  • Location: Hounslow, West London with travel to South Buckinghamshire from time to time

  • Type: Full-time, office-based (not hybrid)

  • Hours: 9 am to 6 pm, Monday to Friday
